Executive Assistant for professional services firm

This role is ideal for an experienced Executive Assistance or Legal Assistant who who thrives in a small, dynamic, collaborative and growing setting.

Key Responsibilities:

  • Client Engagement: Provide superior client service, acting as a liaison between clients and attorneys via email, phone, and in-person communication.

  • Case Management: Follow up with clients on case status, appointments, and billing; handle potential clients professionally and confidently.

  • Administrative Support: Work collaboratively with attorneys and legal assistants to prepare correspondence, agreements, employee handbooks, and legal documents.

  • Scheduling & Calendar Management: Manage attorneys’ calendars, schedule court dates, depositions, and client meetings.

  • Legal Support: Ensure timely court filings and assist attorneys in preparation for court appearances.

  • Document Management: Organize and maintain paper and electronic client files.

  • Process Improvement: Contribute to process improvement and documentation standards.

  • Problem Solving: Demonstrate initiative, problem-solving skills, and a proactive approach to workflow management.

Qualifications:

  • Experience: Minimum 3+ years of recent legal assistant experience (or experience in a similar professional services setting).
  • Technical Skills:

    • Proficiency in Microsoft Office, legal software, dictation/transcription tools, and document management systems.

    • Experience scheduling depositions, managing calendars, handling expenses, and creating expense reports.

  • Legal Knowledge: Familiarity with employment law and legal terminology is preferred.

  • Soft Skills: Strong interpersonal skills—confident, trustworthy, and dependable.

  • Professionalism: Stable job history, demonstrating commitment and reliability.

  • Education: Bachelor’s Degree preferred.
